Organizing a BD Festival! Need tips!

Hi all,

I am helping to organize a small belly dance festival in Oakland this spring. It will be on the campus of my beautiful wooded college, and will include performances, a shopping area, and a few workshops in our lovely professional dance studios.
Since I have never been on this end of a festival before, I have a few basic questions I hope one of you can help me with.
Firstly, what is the normal going rate for a merch table at a smaller festival?
Also, any suggestions for local Bay Area business that may want to sell their wares? I know of a couple that I am going approach, but the more the merrier.
I'd also love to get in contact with one or two drumming groups that may want to play at the festival.
And any more tips would be gladly appreciated!
By the way, this isn't an exclusively Tribal festival, I'd like there to be a nice variety of dancers and workshops showcasing some of the amazing talent the Bay Area has to offer.

    Hey Drea,
    Have you considered starting out just as a hafla the first year, to see how it goes? A hafla can be a few hours to all day, and can include all the things you suggested, but is a smaller commitment (especially financially). Then you can get a taste of all the cat herding, while keeping expectations and responsibilities a little lower, and then if it's a hit, grow it a little each year! Minimize your risk while putting out feelers for how it might succeed in your area.

    The word festival to me just conjures up such a big to-do, I personally balk at it as a marketing term, partly because there are SO MANY festivals these days (and many more that have gone under in recent years due to oversaturation and the economy). Especially in already pretty packed-to-the-rafters Northern California, it's a risky proposition.

    As for your questions on merch tables: at haflas, I usually have paid around $35-$40 per space. At festivals, I have paid anywhere from $120-$500 a space. That gap might give you an idea of the expectations from vendors and patrons of a difference between the scale of a hafla versus a festival.

      Thanks for your imput.
      What I'm planning with this is not to try to create a huge festival (we really don't have the space for one anyhow!), but just a small community-oriented festival. A couple hours of performance, two or three workshops beforehand, and a little vendor area.
      I understand that a lot of "cat hearding" does go into planning an event such as this. However, I am trying to garner support from various on-campus organizations to help with the burden.
      This is something that cannot be done multiple years, since it is part of my senior project. My main focus with the project is to give the several hundred women on campus (it's a women's college) a taste of the belly dance artform that they have not yet been exposed to. There's a lot of interest in the community surrounding it, so I think it will be quite popular with the college population. I also want to invite the rest of the community in to come by and enjoy too!
      I like your suggestion of calling it a Hafla and keeping the structure the same. That world does imply a little less stress and hoopla!

        Re: merch tables, I agree with Shay on pricing. We've also allowed free vending at our haflas because the vendors each donate a prize worth $10-20 (we have contests like "Shimmy-Offs" where you try to shimmy longer than everyone else, and sometimes door prizes). I also think calling it a hafla is a good idea-- if for no other reason than it also introduces people to that term. Good luck!

        Ah I see, a senior project! What a fun and interesting one to do.

        Yeah, festival to me implies a recurring event, while hafla implies one-time or irregular. So that may be more what you are seeking.
